Animal Overview


Create New Animal


To create a new animal, go to the client's overview page, and click the "Create new animal" button at the bottom of the page.

Some fields cannot be edited at the point an animal is created and some fields can never be edited from this screen (marked as "cannot be edited here").

Animal NameThe animal's name - please check spellings such as "Tommy vs Tommie" with the owner for easy searches later.Animal NumberAnimal reference number (cannot be edited here)

OTHER NOTES

The  button allows you to add a new selection to the drop down menu beside it, for instance a new species, breed, or colour.
Is best done once the animal has been saved to the system, as any unsaved data will be lost when the addition is made.


Marking an Animal's Details as Checked

Providing a user has appropriate permissions set:

Then they can "flag" an animal's contact details as checked or requiring checking.

If the user does have permission to do so, then they can elect to mark an animal's details as requiring a check by clicking the "Reset so animal details need checking", otherwise the details will lapse as being known correct after a given period has passed (the default is 36 months but this can be changed by contacting support@vet-one.co.uk and advising what the period should be).

If an animal's contact details require checking then an icon will appear alongside their name in system searches and screens () and a yellow warning that states "Contact Details need checking" will appear on the client's contact details overview screen:

This icon and visual flag will be removed when the "Confirm Animal Details are correct" button (outlined in red, above) is clicked and a message will appear stating the date and time the details were marked as correct:

If you would prefer the Animal Details Unchecked icon () not to appear at all, please contact Vet-One support to advise.

Animal Weights & Vitals

A record of an animals weights and vitals can be viewed by selecting "Weights and Vitals" from the quick menu present on the left hand side of the screen when viewing the Animal Overview screen.  By selecting the specific vital from the drop down menu at the top of the page it is possible to view historic records relating to weight (including body and muscle condition scores), temperature, pulse rate, respiration rate and glucose rate between two specific dates.  The drop-down menu will default to weight as this is the most commonly queried record:

Weight

  1. To view (and / or record) a weight entry for an animal, start at the Animal Overview screen and select the "Weights and Vitals" link from the quick bar on the left side of the page:


  2. You will arrive at the Animal Weight History screen, where it is possible to view historical weight and vitals entries.  If more than one record has been created relating to any one vital then Vet-One will generate a line graph displaying the value against time.  To add a further record, click on the "Add Weight" button at the foot of the screen:

    Note:  A previously added weight can be deleted at any time by selecting the radio button beside it and using the "Delete Weight" button or edited by clicking the date it has been logged under and making any edits to the data before saving your changes.

  3. Arriving at the Animal Weight screen, you will have the opportunity to input a weight, body condition score (optional), muscle condition score (optional) and any relevant notes or remarks.  Click the "Save Changes" button when you have finished inputting your data:


  4. The new record and any additional information (such as body or muscle condition score) will no display on the Animal Weight History screen.

An animal weight can also be added via the Create Animal Vitals screen:

  1. Select "Create Vitals" from the quick bar on the left side of the page:


  2. Once at the Create Animal Vitals Screen, input any relevant information before clicking "Save Changes" at the foot of the screen:


  3. Your new entry / entries will be viewable via the Weights and Vitals screen.

Body Score

Body Condition Scoring provides a standardised scale against which to assess an animal.  It is possible to record a body condition score via either the "Weights and Vitals" screen (where it is grouped together with weight) or "Create Vitals" screen.  Please refer to the the Weight section of the chapter (above) for further guidance.


  1. Emaciated
    Ribs, lumbar vertebrae, pelvic bones and all body prominences evident from a distance. No discernible body fat. Obvious absence of muscle mass.
     
  2. Thin
    Ribs easily palpated and may be visible with no palpable fat. Tops of lumbar vertebrae visible. Pelvic bones less prominent. Obvious waist and abdominal tuck.
     
  3. Moderate
    Ribs palpable without excess fat covering. Abdomen tucked up when viewed from side.
     
  4. Stout
    General fleshy appearance. Ribs palpable with difficulty. Noticeable fat deposits over lumbar spine and tail base. Abdominal tuck may be absent.
     
  5. Obese
    Large fat deposits over chest, spine and tail base. Waist and abdominal tuck absent. Fat deposits on neck and limbs. Abdomen distended.


Muscle Score

It is possible to record a muscle condition score via either the "Weights and Vitals" screen (where it is grouped together with weight) or "Create Vitals" screen.  Please refer to the the Weight section of the chapter (above) for further guidance.

Muscle Condition Scoring again provides a standardised scale against which to assess an animal.  The following excerpt is taken from the WSAVA website:

Muscle condition score is assessed by visualization and palpation of the spine, scapulae, skull, and wings of the ilia. Muscle loss is typically first noted in the epaxial muscles on each side of the spine; muscle loss at other sites can be more variable. Muscle condition score is graded as normal, mild loss, moderate loss, or severe loss.
Note that animals can have significant muscle loss if they are overweight. Conversely, animals can have a low body condition score but have minimal muscle loss. Therefore, assessing both body condition score and muscle condition score on every animal at every visit is important. Palpation is especially important when muscle loss is mild and in animals that are overweight.

Temperature

  1. To view (and / or record) a temperature entry for an animal, start at the Animal Overview screen and select the "Weights and Vitals" link from the quick bar on the left side of the page:


  2. You will arrive at the Animal Weight History screen, click on the drop-down menu at the top left of the screen and select "Temperatures".  


  3. If more than one record has been created relating to any one vital then Vet-One will generate a line graph displaying the value against time.  To add a further record, click on the "Add Temperature" button at the foot of the screen:

    Note:  A previously added temperature can be deleted at any time by selecting the radio button beside it and using the "Delete Temperature" button or edited by clicking the date it has been logged under and making any edits necessary.

  4. Arriving at the Animal Temperature screen, you will have the opportunity to input a temperature and any relevant notes or remarks.  Click the "Save Changes" button when you have finished inputting your data:


  5. The new record will now display on the Animal Temperature History screen.

An animal temperature can also be added via the Create Animal Vitals screen:

  1. Select "Create Vitals" from the quick bar on the left side of the page:


  2. Once at the Create Animal Vitals Screen, input any relevant information before clicking "Save Changes" at the foot of the screen:


  3. Your new entry / entries will be viewable via the Weights and Vitals screen.

Pulse Rate

  1. To view (and / or record) a pulse rate entry for an animal, start at the Animal Overview screen and select the "Weights and Vitals" link from the quick bar on the left side of the page:


  2. You will arrive at the Animal Weight History screen, click on the drop-down menu at the top left of the screen and select "Pulse Rates".  


  3. If more than one record has been created relating to any one vital then Vet-One will generate a line graph displaying the value against time.  To add a further record, click on the "Add Pulse Rate" button at the foot of the screen:

    Note:  A previously added pulse rate can be deleted at any time by selecting the radio button beside it and using the "Delete Pulse Rate" button or edited by clicking the date it has been logged under and making any edits necessary.

  4. Arriving at the Animal Pulse Rate screen, you will have the opportunity to input a pulse rate and any relevant notes or remarks.  Click the "Save Changes" button when you have finished inputting your data:


  5. The new record will now display on the Animal Pulse Rate History screen.

An animal pulse rate can also be added via the Create Animal Vitals screen:

  1. Select "Create Vitals" from the quick bar on the left side of the page:


  2. Once at the Create Animal Vitals Screen, input any relevant information before clicking "Save Changes" at the foot of the screen:


  3. Your new entry / entries will be viewable via the Weights and Vitals screen.

Respiration Rate

  1. To view (and / or record) a respiration rate entry for an animal, start at the Animal Overview screen and select the "Weights and Vitals" link from the quick bar on the left side of the page:


  2. You will arrive at the Animal Weight History screen, click on the drop-down menu at the top left of the screen and select "Respiration Rates".  


  3. If more than one record has been created relating to any one vital then Vet-One will generate a line graph displaying the value against time.  To add a further record, click on the "Add Respiration Rate" button at the foot of the screen:

    Note:  A previously added respiration rate can be deleted at any time by selecting the radio button beside it and using the "Delete Respiration Rate" button or edited by clicking the date it has been logged under and making any edits necessary.

  4. Arriving at the Animal Respiration Rate screen, you will have the opportunity to input a respiration rate and any relevant notes or remarks.  Click the "Save Changes" button when you have finished inputting your data:


  5. The new record will now display on the Animal Respiration Rate History screen.

An animal respiration rate can also be added via the Create Animal Vitals screen:

  1. Select "Create Vitals" from the quick bar on the left side of the page:


  2. Once at the Create Animal Vitals Screen, input any relevant information before clicking "Save Changes" at the foot of the screen:


  3. Your new entry / entries will be viewable via the Weights and Vitals screen.

Glucose Rate

  1. To view (and / or record) a glucose rate entry for an animal, start at the Animal Overview screen and select the "Weights and Vitals" link from the quick bar on the left side of the page:


  2. You will arrive at the Animal Weight History screen, click on the drop-down menu at the top left of the screen and select "Respiration Rates".  


  3. If more than one record has been created relating to any one vital then Vet-One will generate a line graph displaying the value against time.  To add a further record, click on the "Add Glucose Rate" button at the foot of the screen:

    Note:  A previously added glucose rate can be deleted at any time by selecting the radio button beside it and using the "Delete Respiration Rate" button or edited by clicking the date it has been logged under and making any edits necessary.

  4. Arriving at the Animal Glucose Rate screen, you will have the opportunity to input a glucose rate and any relevant notes or remarks.  Click the "Save Changes" button when you have finished inputting your data:


  5. The new record will now display on the Animal Glucose Rate History screen.

An animal glucose rate can also be added via the Create Animal Vitals screen:

  1. Select "Create Vitals" from the quick bar on the left side of the page:


  2. Once at the Create Animal Vitals Screen, input any relevant information before clicking "Save Changes" at the foot of the screen:


  3. Your new entry / entries will be viewable via the Weights and Vitals screen.

Clinical Histories

An animal's clinical history should only ever be used to record clinical detail.  Details of client contact and matters not relating specifically to an animal should be recorded in the customer Contact History, a link to which can be found in the Client Details menu on the left hand side of the Client Overview page.

Notable Conditions

Notable conditions can be added to an animal's overview screen either when the animal is created or by editing the overview screen at a later date.  

Notable conditions will appear at the top of the animal's clinical history and will be highlighted in red to make them more visible:

Creating a clinical history entry

  1. If you have permission to create clinical histories then a "Create History" button will appear when viewing the "Animal Clinical History" page (if you cannot see such a button and believe you should be able to create clinical history please contact your practice's Vet-One administrator):


  2. You will arrive at the "Create Clinical Item" screen.  From the drop-down diagnosis menu select the appropriate (or suspected) condition, specify the date the clinical history relates to (if you have permission to do so, otherwise it will be the current date and time), specify on who's behalf the history is being raised (again, if you have permission to do so) and then enter as much detail as possible.  When you have finished inputting your detail click "Create clinical item":

Your clinical entry will now appear in the animal's clinical history.

Viewing / Attaching a document to a clinical history

It is possible to attach documents to a clinical history entry and certain image formats (such as JPG / GIF / PNG files) can be viewed "in-line", meaning that they will appear as an image within the animal's clinical history.  Other image file formats will be treated as simple attachments and linked to the clinical note.

  1. To attach a document to a clinical note, click on the "Attachments" button, found beneath the clinical entry you wish the attachment to relate to:


  2. This will take you to the Clinical Attachments screen, where you can access any existing attachments relating to the clinical note.  If you wish to add a further attachment, click on the "Add attachment" button, which can be found at the foot of the list of attachments:


  3. Add the attachment by clicking the "Choose file" button and locating the file on your local drive.  When you have selected your file and it appears in the Attachment File field, click "Save Changes" and your file will be uploaded:

Your attached file will now appear in the attachments list relating to the clinical note and can be deleted by clicking the red cross to the left of the attachment entry ().

Adding an annotated diagram

Annotated diagrams can be added to clinical notes in order to illustrate specific injuries, conditions, operation sites etc.  There are a number of common templates available or if you prefer, a diagram can be drawn freehand.  Existing templates include:

  • Ventral / Dorsal
  • Feline (Maxilla)
  • Feline (Mandible)
  • Canine (Maxilla)
  • Canine (Mandible)
  • Canine (Maxilla / Mandible)
  • Feline (Maxilla / Mandible)
  • Eye
  1. If you wish to add an annotated diagram to your clinical note, click on the "Annotate diagram" button:


  2. Select the "stock" diagram you wish to annotate from the drop-down menu, or proceed to create your own.  In the example below, the ventral / dorsal diagram has been used in order to illustrate where a bite wound had been sustained.  When you have finished editing and annotating your diagram, click "Save Changes":


  3. Your clinical diagram will now appear "in-line" as part of the clinical note:


Clinical Issue Types (History Templates)

  1. When adding a clinical history, it is possible to select an "Issue":


  2. Not only does this provide a means of filtering clinical history entries (based on the issue type) when they are being reviewed but it also allows a user to preset a body of text that will populate the "Details" field when a history is being created.  For example, selecting the issue of "Diagnosis" (as above) has been preset to populate the details field with a set passage:


  3. To set up "Clinical Issue Types", navigate through Animals to Animal Module Setup and then to Clinical Issue Types:
     

  4. Once within "Clinical Issue Types", either click on an existing type (and then click ) or click the  button at the foot of the page.

  5. You must now populate the following fields:

    DescriptionThe name by which you will identify the clinical issue type and how it will appear in the drop-down menu
    Letter Text ...
    Is RVC standard codeYes / No
    In current useYes / No (whether the issue type should be displayed in the available list)
    Clinical History textWhatever is input here will automatically appear in the Details field when adding a clinical history entry
  6. Once complete, click  at the foot of the screen.  The clinical issue type will now be saved and any text input will automatically appear when the issue is selected from the drop-down list.

Adding a Microchip number

From the Animal overview, select the "Passport - Microchip" option from the quick links bar on the left of the page.

Here you can enter the pet's Passport and microchip numbers, any special details that should be noted, and the date the microchip was registered. You can also select the microchip's manufacturer, for easy future reference.

The animal's microchip number will also be displayed on its Overview.


Registering a Microchip

Animal Passports

From the animal overview page it is possible to navigate to the anima's passport information by clicking on the Passport - Microchip option in the left-hand menu:

On the Animal Passport - Microchip overview page, click Edit:

Update the Has Passport option to "Yes":

Input the passport number and issue date (where relevant, otherwise leave as "None") before clicking Save Changes:

The passport details will now display in the overview:

Printing and Editing Consent Forms

From the main Vet-One page, click "Animals" and "Search by Animal Name" to search for the animal you would like to print a consent form for.

Click the "Print Surgery Consent Form" link on the "QuickBar", located either above or below the animal's information. This will load a form with the animal's details, the client's details and information to be read by the client, ready to be printed.

It is possible to specify what animal and client information you would like entered into the consent form, as well as fields to be filled out by hand after printing, and services for the client to choose to be carried out while the anaesthetic is under way. Please contact us on support@vet-one.co.uk detailing the changes you would like made, and we can begin organising a new consent form for your practice.

Generating Reminders

Periodically you will need to generate reminders to send to your customers based on the products and services you have provided and the criteria of the reminders you originally defined (e.g. an annual reminder for a dog or cat booster).  This action is executed via the Reports module, accessible from Animal Management:







  1. You will arrive at the Reminder Report Setup screen.  
    1. Select a window of time for which you would like to see due reminders, in the example below the report will display all reminders due for the entire month of December 2015.
    2. You can generate reminders for customers of a specific branch or select "All" from the drop-down menu to generate reminders due for your entire practice.
    3. Label output is usually left as "One label per animal"
    4. If the reminder message is left set to "Default" then the reminder wording will be relevant to the reminder type (e.g. This is a dog booster reminder for Fido)
    5. Click the  button (depending on the size of your practice and use of reminders the report may run to many pages - consider running this report at times of low demand):

  2. Vet-One will generate a report and display a page similar to the example below.  From this screen it is possible to send reminders via a variety of means, including e-mail and SMS.


  3. You are now free to work your way through the report.  Most users begin by sending the most cost-effective and easy reminders first, therefore the hierarchy of dispatch tends to begin with email and end with printed labels for dispatch via "snail-mail" (or a marketing communication company such as Chameleon, who may want your reminder list in a CSV format - use the  option).
    Please remember that you will only be able to send reminders via SMS if you have an SMS account set up and credit available.  Contact support@vet-one.co.uk if you require any assistance.
     
  4. As you can see from the screenshot below, a reminder medium can be selected that excludes those that have already been sent.  This is a useful feature to utilise as it will help to avoid "spamming" customers with reminders when you have already contacted them via another means

Sending Test Reminders

Before sending reminders out to customers, it is possible to send some test reminders to ensure that the information contained therein is as desired.  To send a test reminder click the  or the  button.  Below is an example of the screen that will be displayed if a test email reminder is to be sent.  Enter a valid email address and tell Vet-One how many test reminders to send, the test reminders will then be delivered to your nominated mailbox for checking.

 

Setting up SMS Messaging

Vet-One can be integrated with a number of SMS service providers including Boom SMS, Text Marketer and Reach SMS.

Boom SMS is traditionally the provider set up on new Vet-One systems by default but clients are free to select their SMS provider based on personal preference and cost.

Most Vet-One customers will have been set up with a Booms SMS account as part of their initial installation.  You can check if this has been done by navigating to:

If your account has been set up, you will see a screen similar to the one shown below:

 If you would like to add an alternative SMS account, click "Create SMS account" and input the relevant details (before then selecting and deleting any accounts you don't wish to use):
 


Please note:  If adding a Text Marketer account you must use the API credentials and not your usual account details:

  1. From Text Marketer's Main Menu, click "Account Settings":


  2. Click the "API Config" tab:


  3. Make a note of your API credentials and input them into Vet-One's SMS account details screen:


Insurance Claims

Customers of Idexx can access the VetConnect system directly from Vet-One's Animal Overview screen (if the tab is not visible please contact Vet-One Support).

Click on the Idexx link (pictured below) and the VetConnect login screen will open in a new browser tab.  Enter your username and password and tick "Remember me".

You will now be able to access an animal's Idexx results directly from the animal overview (as Vet-One communicates the animal ID to VetConnect in order to obtain the relevant animal results screen).
















External Lab Reports

Lab reports can be raised and sent to external laboratories from within Vet-One.

All external lab reports and requests can be accessed via the Animal Management module:

External lab reports and requests relative to a specific animal can be accessed via the left hand quick menu, available from the Animal Overview screen:
 

Creating and Sending an External Lab Request

  1. The lab requests screen can be accessed one of two ways, either from the Lab Reports Menu:

    or from the Animal Overview:


  2. Once at the Lab Requests screen click , which will redirect to the Assign Animal screen.  Search for the animal the lab request is required for and click on the animal name to select it.

  3. Arriving at the Create new lab request screen, select the lab to which the request should be sent and include any relevant remarks before clicking :


  4. The new lab request will now appear listed at the top of the lab requests screen:


  5. By clicking on the Report Ref, the lab request can be viewed.  From this screen it is possible to add the required, specific tests by clicking  (the available list will be determined by which tests have been added to your Vet-One Master Product Catalogue fromt the relevant laboratories external catalogue).

  6. From the "Request Lab test" drop-down, choose the required test.  Repeat this step to add as many tests (for the specific lab selected) as required:


  7. Once all required tests have been added to the request and it is ready to be sent, click "Animal Lab Requests" in the history bar at the top of the Lab Request screen:


  8. Using the checkboxes to the left of the report list, select the requests to be sent.  When selection is complete click :


  9. Once sent, the "Requested status" column will update from "Not sent" to "Sent to Lab Company".

Setting Incoming Lab Report Notifications 

Within Vet-One's branch management area it is possible to specify an individual and group to be notified of incoming lab reports on a branch-by-branch basis.

Navigate to the specific branch you wish to set notifications for:
 

Once the branch in question has been selected, edit the branch options to update the individual to be notified of incoming lab reports (from a list of users) and the group to be notified of incoming lab reports (from a list of permission groups, e.g. "Vets"):
 

Now, when lab reports are received, the individual and group selected will see a message on the Vet-One home screen.

Viewing External Lab Reports

  1. All lab reports (for all animals) can be accessed via the lab reports screen:


  2. Lap reports are ordered by their Test Reference (descending), so you can find the most recent reports at the bottom of the page.  For those that have not yet been returned by the external laboratory Not returned will be displayed in the "Date returned" column; for those that have been returned, a date will be displayed:
     

  3. Click on the Test Ref. to view the report results (if a report hasn't yet been returned then the results section will be empty):

Viewing External Lab Reports for a Specific Animal

To view only the lab reports (or requests) for a specific animal, access the lab reports page via the quick menu situated on the left hand side of the specific animal's overview screen:

Internal Lab Reports

Vet-One can be connected to in-house, analysis machinery via Connect-One - a solution that allows Vet-One and in-house analysers to communicate with one another directly.  Connect-One allows lab requests to be sent directly to an internal laboratory and also allows results and reports sent back by the internal laboratory to be imported into Vet-One and automatically inserted in / attached to a patient's clinical record.

Setting Up a Laboratory Supplier for Internal Use

In order to send a lab request internally, the lab (supplier) in question must be set to be "Supplied Internally by Practice".  To do this, navigate to the Suppliers page in the Product & Services Module Setup screen (in this example, MiLab will be the supplier updated):














Once within the Supplier Overview, click "Edit Supplier Details":

Update the "Supplied Internally by Practice" drop-down so that it reads "Yes" and click "Save Changes":
 

Creating and Sending an Internal Lab Request

Lab requests can be created either:

Manually, by creating a lab request and adding any required tests to it before requesting the selected tests (sending them to the in-house analyser).  This process is identical to sending an external lab request, except the supplier of the test requested will have previously been set to be supplied internally by the practice.

or

Automatically, by adding an item with an associated "Request lab test" product event action to an invoice:

  1. Create an animal invoice in the usual way

  2. Add the relevant laboratory test to the invoice (in the same way you would add any other product or service)

  3. If an unsent request already exists for the animal in question (for the same laboratory company) then the request will be added, otherwise a new request will be created

  4. Note: Deleting the lab test from the invoice will remove the test request (or the test request that was created on a pre-existing lab request)

  5. To send the request, navigate to the Lab Requests page for the animal, either via the Animal Overview:
     

  6. ...or via the Animals Module:
     

  7. Once at the lab requests page, select the lab request you wish to send to the in-house laboratory and click "Requested selected tests":
     

  8. Once complete, the selected request will be sent to the in-house analysis equipment via Connect-One.  Move to the analyser equipment to execute the necessary tests and the results will be imported into the relevant patient's clinical history as either a clinical history entry or file attachment (depending on the format output by the analyser).

Viewing Internal Laboratory Test Results

If internal lab requests are being sent to in-house laboratory equipment then Connect-One is in use at your location.  Connect-One will have been calibrated to automatically import laboratory results as soon as they are available and attach them to the relevant patient's clinical history.

Advised Products and Services

The advised products and services screen allows a record of recommended products or procedures to be kept and easily referenced by consulting veterinary surgeons who subsequently serve the client and treat their animal.

The Advised Products and Services screen can be accessed from Client Overview screen:

Once at the Advised Products and Services screen, click on "Add New Advised Product or Service":

You will now arrive at the "Add Advised Product or Service" screen:

  1. Select the animal to which the advice relates
  2. Select the product or service that is being advised
  3. Record whether the client declined the advice
  4. Add any additional notes or remarks (e.g.) when the advisory product or procedure should be administered / undertaken
  5. Click "Add New Advised Product or Service" to save the entry

The advised product or service will now be listed:

The advised product or service can be:

  1. Deleted by clicking on the red cross ()
  2. Edited by clicking on the blue "Edit..." link, where:
    1. whether the client declined the advice or not can be amended
    2. remarks can be edited
    3. before clicking "Update Advised Product or Service"
