Other Practices

Vet-One allows users to record the details of other veterinary practices so that they can be contacted and information can be shared.  The details of other practices can be added via the Referrals module of Vet-One, accessed by clicking on the Referrals module and then the "Other Practices" logo:

Providing a valid email address has been entered into Vet-One an animal's clinical records can be sent directly to the other practice, without the user having to leave the system, export or attach any files.  There are a few ways of adding new practices to Vet-One:

  1. Via the "Other Practices" screen within the Referrals module and clicking "Add practice" (clicking on an existing practice will give you the opportunity to edit existing details):


  2. By using the "quick-add" button (), to the right of the Practice Name field in the "Email a Practice" or "Email a Practice Contact" screen:


  3. By using the "quick-add" button (), to the right of the "Email to" field in the "Email animal Clinical History" screen:


Whichever route you choose, you will arrive at the "Add New Practice" screen (displayed below).  Fill in all of the necessary fields, including as much detail as possible.  When you have finished, click "Add New Practice" at the foot of the screen.

You will now be able to select the practice you have added from the drop-down menu featured in any of the pages described above.  Vet-One will send the animal records as an email on your behalf and will use the email address recorded against the branch you are sending from in the "Branch Management" module.

Practice Contacts

It is possible add a number of individual contacts within another practice record, so animal records can be sent to a specific person e.g. an exotic animal specialist:

  1. Once you have added the other practice, view the other practices via the Referrals module and Other Practices screen:


  2. From the displayed list, select the practice to which you wish to add an individual contact.

  3. Under "Practice Contacts" (at the foot of the screen) click the "Add Practice Contact" button:


  4. Input the details of the individual contact, entering as much detail as possible (don't forget to add an email address!) and click "Add New Contact":

The individual will now appear under "Practice Contacts" Veterinary Practice Overview screen and users will now be able to send emails to the directly.

Reports

Email another Practice or Practice Contact

Whether a client is moving away and has to transfer or you wish to refer a patient, it is possible to send an animal's clinical history via email to another practice from within Vet-One.  The practice (or practice contact) that you wish to send the records to must have been added to the system.

Email a Practice

Emailing a practice can be done one of two ways, the option you choose will depend on whether you wish to send an animal's clinical history as part of the email:

Via the Animal Overview (to send a clinical history)

  1. Click "Email Clinical History" at the top of the Animal Overview page:


  2. Select the practice you wish to send the history to via the drop-down menu (if the practice is not displayed it can be added using the quick-add button: ), set the period for which the history should be sent, include any covering note or message you wish to appear in the  email and click "Send email":

The animal's history will be sent to the other practice by Vet-One and the sender will appear as the email address that has been pre-set in the "Branch Management" module.

Via the Referrals module (to send a message)

 

  1. If you simply wish to send an email (without an included, clinical history) then access the "Email to Practice" screen via the Referrals module:


  2. Select the practice you wish to email (if the practice is not displayed it can be added using the quick-add button), insert a subject title, write your email in the "Message details" field and click "Send email".

 

Your email will be sent to the other practice by Vet-One and the sender will appear as the email address that has been pre-set in the "Branch Management" module.

Email a Practice Contact

It is generally only necessary to email specific individuals within another practice when referring an animal to a clinician with specialist expertise.  As such, the option to email a practice contact is only available from within Vet-One's Referral module.

  1. Access the "Email to practice contact" screen via the Referrals module:


  2. Select the practice at which your contact works (if the practice is not displayed it can be added using the quick-add button), select your contact from the "Practice Contact" drop-down menu (which will become active when a practice with individual contacts available is selected), write your email in the "Message details" field and click "Send email".

Quick help: The practice contact I want to email isn't listed...

Your email will be sent to the practice contact by Vet-One and the sender will appear as the email address that has been pre-set in the "Branch Management" module.  If you do not select a practice contact or if your contact is not listed, then the email will simply be delivered to the email address recorded in the other practice's details.
