Large Animal Overview

General animal management tasks do not differ significantly between small and large animals.  Therefore, please reference the Animal Overview pages for guidance on creating and maintaining animal records.

Locations

The "Locations" function allows you to record a location where and when an animal is kept away from the client's address (typically due to its size), e.g. a bull or a horse might be kept (and seen / treated by the vet) in a field or stable.

  1. Setting up a location is very easy.  First, click on the "Large Animals" icon and then the "Locations" icon:


  2. Click the  button in the Animal General Locations view:


  3.  Input all of the location details and click  - Your location will appear in the Animal General Locations view.
    • Note that you can select a location type, this can be a useful way of describing what facilities are present on site.  Click here to learn more about adding locations.
    • A map reference can be added by viewing the location on Google Maps, right clicking and selecting "What's here?" - the coordinates can then be copied and pasted
    • If the location is owned by a specific client then you can enter the client reference number (this can be found at the top right of the Client Management Overview screen).  If it is a site used by many clients (e.g. a livery) then this can be left blank.

  4.  Animals can now be added to the location by either selecting it at the "Create New Animal" stage or by editing the "Animal Overview":


  5. You can view all of the animals kept at a given location by clicking  from the "Location Details" view:

Location Types

Location types allow you to specify the type of location an animal is kept at.  Examples might include:

  • Field
  • Livery
  • Stable
  • Shed
  • Farm

Multiple animals kept at a location do not have to belong to one specific client but can belong to a variety of clients (think of a shared livery for example) and the "Animals at Location" view allows you to quickly query how many animals are kept at a specific location, regardless of who their owner is.

To add a location type

  1. From the "Large Animals" menu click on the "Large Animal module setup" icon and then the "Location Types" icon:


  2. Now add your location type.  The example below shows a number of pre-added location types (existing location types can be edited by clicking on them or deleted by selecting the small circle to the left of the location and clicking the  button):
     

  3. Give your location type a name and click :


  4. You will now be able to select your new location type when you create an animal or edit an animal's details from the animal overview screen.

Associating a Location with a Client Account

As part of its large animal module your Vet-One system allows you to create locations.  These locations can also be utilised when there is a need to record multiple contacts (all associated with one location or organisation) or record many animals as being kept at one location (when they are owned by many different clients).  A location can be associated with a specific client account, allowing the listing of further contacts (relevant to the client account).

  1. Begin by locating the client for whom you wish to create an associated location and take a note of the client reference number:


  2. Now proceed to the Locations overview and click "Add location":
     

  3. Input all of the location information and be sure to complete the client reference number field, which will "tie" the location to a specific client record.  Click "Save Changes" when finished:
     

  4. The new location will now be displayed and it is possible to then add further contacts.  In the example below you can see that Ken Coates has been added as a location contact with a remark that identifies him as the contact for anything to do with contract queries:


  5. Animals can now be moved to (or set at) this location by changing their location in the Animal Overview and clicking "Save Changes".  They will then be counted at the location and can be viewed by clicking the number:
     

  6. It is also possible to set up specific location types and location contact types.  E.g. You might want to have location types of "Council", "Kennel" and "Charity" and contact types of "Administrator", "Accountant" and "Manager".  This can be done via the Large Animal Module Setup screen:
